About us:
Established in 1995, Kids Kottage is a charitable organization that provides 24/7 care and shelter for children aged 0-10 who cannot safely remain at home during times of crisis.
The Opportunity:
We are looking for 1 Executive Support Lead:
- Monday-Friday, 30 hours per week, with the possibility of increased hours
- Flexibility in daily scheduling (e.g., 9:00am-3:00pm, 8:30am-3:30pm, etc.)
The Executive Support Lead serves as a strategic coordinator for the Executive Director, Development Director, and Board of Directors, helping align priorities and support key governance, donor engagement, and external relationship activities. This position combines coordination, systems thinking, and relationship management. The ideal candidate will bring strong digital fluency and use technology, including artificial intelligence, to improve workflows, reduce manual work, and support more effective decision-making.
Key Responsibilities:
Executive & Fund Development Leadership Support
- Manages calendars, scheduling, and priority alignment across leadership activities
- Coordinates and prepares for donor, stakeholder, and leadership meetings, including briefing materials and logistics
- Drafts correspondence and prepares materials to support donor engagement and leadership decision-making
Donor & Stakeholder Support
- Maintains accurate and up-to-date records within the donor management system, including creating and updating donor and stakeholder profiles and tracking interactions
- Supports donor communications, including coordinating outreach and responding to inquiries
- Builds and maintains positive, professional relationships with donors and stakeholders
Board of Directors & Expansion Task Force Liaison
- Coordinates board, committee, and expansion task force meetings, including scheduling, agendas, and preparing board packages and supporting documents
- Records minutes, track decisions and action items, and supports follow-up on key priorities
- Maintains board records and governance documentation in accordance with organizational requirements
Systems, Technology & Workflow Improvement
- Uses digital tools and AI to streamline workflows and improve efficiency across leadership and development functions
- Builds and maintains simple systems such as templates, trackers, and internal workflows as needed
- Identifies opportunities to improve coordination, reduce duplication, and strengthen information flow while maintaining organized, accessible digital files and systems
Administrative Team & Office Coordination
- Coordinates scheduling and workflow across the administrative team
- Supports alignment and consistency in administrative processes
- Provides reception coverage as needed, including greeting visitors and responding to general inquiries
General Responsibilities
- Maintains organized records across systems
- Anticipates needs and follows through on priorities with minimal direction
- Takes on a wide range of responsibilities and projects as required
Qualifications & Skills:
- Experience in a coordination, administrative, logistics, or similar role supporting senior staff
- Strong digital proficiency, including CRM / relationship management systems and Microsoft Office
- Provides and maintains clear Police Information Checks and Child Intervention Record Checks according to policy and procedures.
- Experience supporting fundraising, donor relations, or external engagement is an asset
- Experience working with boards or governance structures is an asset
- Strong ability to manage competing priorities with minimal direction
- Comfortable managing multiple priorities in a fast-paced environment
- Strong written and verbal communication skills
- Handles sensitive and confidential information with discretion
- Willing to take on a wide range of responsibilities and learn new skills
- Positive, grounded, and brings energy to their work
- Friendly and approachable, with strong relationship skills
Work Environment:
- Primarily on-site at Kids Kottage Administration Office. Some flexibility for remote work when appropriate.
- 30 hours per week, Monday to Friday with flexibility in schedule and possibility for increased hours.
Benefits & Remuneration:
- The hourly range for this position is $27.00 to $33.00 per hour, based on education and experience.
