About us:
Kids Kottage Foundation, established in 1995, is a non-profit organization dedicated to providing a safe and nurturing environment for children when families encounter a crisis and need help to cope with and overcome their challenges.
The Crisis Nursery provides 24-hour care, typically 1-3 days period, for up to 12 children under the age of 11 when their parents are faced with emergencies such as a health crisis, unsafe housing or homelessness, family violence, lack of utilities, legal crisis, or overwhelming parental stress and have no other alternate care for their children.
Our mission is to ensure children are safe and receive the care they deserve when their families are in a crisis and provide caregivers with the appropriate resources, they need to support them to mitigate the crisis and build resiliency.

The Opportunity:
Kids Kottage Foundation is recruiting a full-time Administrative Coordinator. Reporting to the Development Director, the Administrative Coordinator oversees the reception functions of the administration office and provides support to the leadership team  with a focus on financial services. 
 
Essential Duties and Responsibilities:

  • Acts as first point of contact for the public to the Kids Kottage administration building through phone, email, or in person - greeting and directing accordingly.
  • Assists with managing calendars for the leadership team, including scheduling meetings, coordinating appointments, and resolving scheduling conflicts.
  • Prepares and organizes materials for meetings, presentations, reports, and general correspondence.
  • Coordinates communication across departments and with external partners.
  • Organizes internal and external meetings and events, including logistics, venues, catering, and tech setup.
  • Assists the Financial Administrator with data entry, invoice tracking, and reconciliation tasks.
  • Maintains and updates financial records, spreadsheets, and databases as required.
  • Supports purchasing / ordering activities, as well as documentation and submission of expense reports and purchasing records.
  • Takes meeting minutes, distributes agendas and action items, and follows up on deliverables when needed.
  • Provides support to finance by facilitating the donation process, taking in new donations, recording donation information and assisting with organizing/maintaining the flow of donations to the appropriate channel.
  • Assists with maintaining a strong donor recognition program including activities such as thank you calls, written notes, emails, in-person calls after a gift is received.
  • Handles sensitive and confidential information with the utmost discretion.
  • Maintains a clean and neat reception area daily.
  • Other duties as required.
Qualifications:
  • At least 3 years’ experience in office administration support, or a sufficient combination of education and work experience.
  • Prior experience working in a not-for-profit or mission-driven environment is an asset.
  • Exceptional skills in the areas of organization, attention to detail, time management, ability to multitask, define and set priorities, and problem solving.
  • Proficient in all Microsoft Office programs and high level of comfort with business tools and other software programs.
  • Excellent written and verbal communication skills.
  • Ability to take initiative with projects to work both independently and as part of the team.
  • Knowledge of fundraising practices and donor stewardship principles.
  • Provides and maintains current clear CYIM and Police Criminal Record checks.

  • Represent the KKF Administration office with a high level of integrity and reliability.
  • An entrepreneurial, flexible, and resourceful spirit.
  • A sense of humor.
Work Environment:
  • This position is based out of Kids Kottage Foundation Administration Office, located at 10107 134 Avenue NW, Edmonton T5E 1J2.
  • Hours of work are from 8:30am-4:30pm Monday to Friday for a total of 40 hours per week.
  • Start Date: June 24th, 2025. 
Salary Range:
$40,000 - $50,000 annually, depending on education and experience.
