Position Overview

We are seeking a highly organized, proactive, and resourceful Executive Assistant to support senior leadership and help ensure the smooth operation of our firm. The ideal candidate thrives in a dynamic, fast-paced environment and demonstrates a high degree of autonomy, professionalism, and judgment. This position calls for someone who can work independently, make sound decisions with minimal direction, and anticipate the needs of the executive team. The successful candidate will balance administrative precision with the ability to take initiative and drive tasks and projects to completion.

Key Responsibilities

  • Provide comprehensive administrative and executive support, including calendar management, meeting coordination, and travel logistics.
  • Manage internal and external communications with professionalism, discretion, and efficiency.
  • Prepare, proof, format, and edit correspondence, reports, and presentation materials for internal and client use.
  • Coordinate and lead planning for meetings and events, including booking venues, arranging catering, managing RSVPs, and ensuring seamless execution for client functions and internal team events.
  • Oversee office operations such as ordering supplies, managing tickets and hospitality requests, and maintaining vendor relationships.
  • Track and reconcile event-related budgets and expenses.
  • Support organizational compliance requirements, including maintaining registrations and filings with the Federal and Provincial offices responsible for the oversight of lobbying activities.
  • Anticipate executive and organizational needs, independently identifying and implementing solutions to improve workflows and operational efficiency.
  • Act as a trusted point of contact for leadership, exercising discretion and good judgment in all matters.
  • Coordinate with partners and consultants across the ISP group to facilitate cross-team collaboration and communication.
  • Maintain and organize files, records, and information systems to support executive decision-making, including a comprehensive client list and other materials.

Preferred Qualifications and Experience

  • Minimum of 3–5 years of experience in an executive assistant, operations, or senior administrative role.
  • Diploma or degree in Business Administration, Communications, or a related field.
  • Demonstrated ability to work independently and make informed decisions with minimal supervision.
  • Excellent time management, prioritization, and problem-solving skills.
  • Strong written and verbal communication abilities with a professional demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools such as Teams, Slack, or Google Workspace.
  • High attention to detail and organizational excellence.
  • Proven ability to handle confidential information with discretion and integrity.
  • Experience coordinating corporate or client events is an asset.
